Polymorph Recruitment (“we”, “us” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose and protect your personal data when you use our website (polymorphrecruitment.com) and our recruitment and HR services, in line with Malaysia’s Personal Data Protection Act 2010 (PDPA).
1. Personal data we collect
Depending on how you interact with us, we may collect:
- Job seekers: your name, contact details, CV or résumé, education, work history, skills, current and expected salary, availability, references, and any other information you choose to share with us.
- Employers and clients: the names, job titles and contact details of your representatives, company details, and information about the roles you are hiring for.
- Website visitors: information you submit through our forms, account and messaging features, and technical data such as IP address, browser type and pages visited, collected through cookies and similar technologies.
2. How we use your personal data
We use personal data to:
- match job seekers with suitable job opportunities and assess suitability through screening, interviews and assessments;
- introduce shortlisted candidates to prospective employers;
- provide our recruitment, HR outsourcing, HR consultancy, payroll, Employer of Record and training services;
- respond to enquiries and communicate with you about jobs, services and updates;
- operate, maintain and improve our website; and
- comply with legal and regulatory obligations.
3. Disclosure of personal data
We may share your personal data with:
- Prospective employers and clients, when we put you forward for a role. We will not send your CV to an employer without your agreement.
- Service providers who support our business, such as website hosting, email, IT and assessment providers, who are required to protect your data.
- Government agencies and authorities, where required by law (for example, for payroll and statutory contributions such as EPF, SOCSO, EIS and LHDN).
We do not sell your personal data.
4. Transfer of data outside Malaysia
Some of our clients and service providers are located outside Malaysia (for example, employers in Singapore). Where your personal data is transferred overseas, we take reasonable steps to ensure it receives a standard of protection comparable to that required under the PDPA.
5. Data security and retention
We take reasonable technical and organisational measures to protect personal data from loss, misuse, unauthorised access, disclosure or alteration. We keep personal data only for as long as it is needed for the purposes described above or as required by law, after which it is securely deleted or anonymised. Job seekers may ask us at any time to remove their CV from our database.
6. Your rights
Subject to the PDPA, you have the right to:
- request access to the personal data we hold about you;
- request correction of inaccurate, incomplete or outdated data;
- withdraw your consent or limit how we process your data; and
- opt out of marketing communications at any time.
Withdrawing consent may mean we are no longer able to put you forward for job opportunities or provide certain services. We may charge a fee permitted under the PDPA for data access requests.
7. Cookies and third-party services
Our website uses cookies to keep you signed in, remember your preferences and understand how the site is used. Some features, such as job location maps, are provided by third parties (for example, Google Maps), which may collect data in line with their own privacy policies. You can control cookies through your browser settings.
